What most generators get wrong
Five payroll mistakes this tool is built to prevent
1. Still using the Rs 15,000 PF ceiling
From 17 September 2026 the statutory PF wage ceiling is Rs 25,000. At the ceiling, employee PF is Rs 3,000 a month, up from Rs 1,800. Many free generators and spreadsheets still hard-code Rs 1,800, so every slip they produce is short by Rs 1,200 a month for anyone whose PF wages are Rs 25,000 or more. The September 2026 payslip is a split month: 16 of 30 days at the old ceiling, 14 of 30 at the new one.
2. Ignoring the 50% wage rule
Under the Code on Social Security, PF wages cannot sit below half of total pay just because the CTC structure parks most of it in special allowance. A Rs 40,000 gross with Rs 15,000 basic has PF wages of ₹20,000 here, not Rs 15,000, so PF is ₹2,400 instead of Rs 1,800. Anyone with gross pay of Rs 50,000 or more hits the full Rs 25,000 PF wage cap whatever their basic is. Restructure salary letters before payroll, not after an audit.
3. Three LOP divisors, three different salaries
Same employee, same Rs 50,000 gross, same 2 days of loss of pay in a 31-day month. Calendar-day divisor gives ₹46,774; fixed 30 days gives ₹46,666; 26 working days gives ₹46,154. None is illegal, but the one in the appointment letter is the one that holds up in a dispute. Pick one and apply it to everyone.
| Calendar days (31) | ₹46,774 |
|---|---|
| Fixed 30 days | ₹46,666 |
| 26 working days | ₹46,154 |
4. Deciding ESI on earned pay instead of contractual pay
ESI coverage depends on the employee's monthly gross wage, not on what they earned after loss of pay. An employee with a Rs 21,000 gross who takes half the month off is still covered; the contribution is just smaller (₹77 in this example). Generators that test the earned amount drop ESI in a bad month and create a coverage gap.
5. Treating professional tax as a flat Rs 200
PT is a state levy with its own slabs. Maharashtra charges Rs 300 in February to reach its annual cap, Tamil Nadu collects half-yearly, and Delhi has none. Pick the state and the tool applies the slab. Slabs change by state notification and several vendor lists disagree, so use the custom amount if your state portal shows something different.

Got questions?
Salary slip generator: FAQs
PF ceiling, ESI, LOP and format questions.
- Employer name and address, employee name, ID, designation, pay month, days paid, each earning component (basic, HRA, allowances), each deduction (PF, ESI, professional tax, TDS), gross, total deductions, and net pay. PAN and UAN are optional on the slip but lenders and visa officers often like to see UAN because it ties the slip to EPFO records.
- Yes. The Union Cabinet raised the EPF, EPS and EDLI wage ceiling from Rs 15,000 to Rs 25,000 through notification S.O. 5109(E) of 17 September 2026, replacing the May 2026 notification that had kept Rs 15,000. It is not retrospective. September 2026 is split: days 1 to 16 at the old ceiling and days 17 to 30 at the new one. Above Rs 25,000 membership is optional and needs a joint employer-employee opt-in. Confirm against the notification before filing your ECR.
- No. The ESI gross wage limit stays at Rs 21,000 a month (Rs 25,000 for persons with disabilities). Only the PF ceiling moved. Employee ESI is 0.75% of earned wages, rounded up to the next rupee.
- Use whatever your appointment letter or HR policy says, and use it for every employee. Calendar days is the most defensible because it matches the pay month. A fixed 30 days or 26 working days gives different amounts for the same absence, and mixing conventions between employees is a common source of disputes. The tool lets you switch so you can see the difference.
- A computer-generated slip does not legally need a wet signature, and the footer says so. Some banks and embassies ask for a stamped or HR-signed copy. That is their requirement, not a legal rule about the slip itself.
- Yes for a handful of employees. Beyond that, retyping every month is where PF, LOP and PT errors creep in. Zeba payroll takes paid days from attendance and issues every slip automatically. This tool is meant for genuine payroll records only. Do not use it to create slips for pay that was never made.
