New joiner checklist

The joining letter is the start of the file, not the end. Tick these off on day one, then print or download the list. Which forms apply depends on your establishment, so confirm with your adviser.

The joining date drives five things

1. Probation and confirmation

Three months from 1 December 2026 ends on 28 February 2027, the day before the anniversary. Diarise the confirmation decision for before that date, because confirmation is not automatic if your letter says so.

2. The first payslip

Joining on 16 December 2026 on a gross of Rs 62,000 gives 16 of 31 days, about Rs 32,000 for the month on a calendar-day basis. Join on the 1st and the month is paid in full. Produce the slip with the salary slip generator.

3. Provident fund and ESI

Contributions start with the first wage month, so the date of joining on the EPFO record must match your letter and your payroll. Check the PF base against the salary sheet. The PF wage ceiling is Rs 25,000 from 17 September 2026.

4. Leave and attendance

Leave accrual and attendance both start from the joining date. Add the person to your attendance system with the same date, and mark days correctly using the attendance sheet format.

5. Service for gratuity

Service is counted from the date of joining. A wrong date moves the eligibility date, which shows up years later in the gratuity calculation.

If you are the employee

How to write your joining letter

  1. Put your name and address at the top, then the date, then the company and the person you address it to.
  2. Write a clear subject line: joining letter for the post of your designation.
  3. Refer to the offer or appointment letter by date and say you are reporting for duty on the joining date.
  4. Say you accept the terms in that letter, list the documents you enclose, and sign.
  5. Keep the letter short, one page, and hand a signed copy to HR on day one.

Got questions?

Joining letter format: FAQs

Who writes it, joining reports, dates and no-shows.

  • A joining letter is the letter a new employee gives the company on the day they join, confirming they have reported for duty against the offer or appointment letter. Some companies also issue a joining confirmation from their side.
  • Normally the employee. The company's matching document is a joining confirmation or a welcome letter. The generator above offers both, plus a joining report for people returning after leave or transfer.
  • A joining letter is for a new hire. A joining report is for an existing employee reporting back after leave, transfer or training. The wording and the details are different, so use the right one.
  • It starts the clock on probation, the first payslip, provident fund and ESI contributions, leave accrual and the service count for gratuity. If the joining date differs between the letter, the HR system and the provident fund record, you will be fixing it later.
  • Record the no-show in writing on the day, and say in your offer letter that the offer lapses if the candidate does not join by an agreed date. Do not hold a seat open indefinitely. Take legal advice if you have already paid a joining bonus.
  • No. A joining letter is an ordinary letter on plain paper or letterhead, signed and dated. Stamp duty questions arise for documents like bonds, not for a joining letter.
