ESIC benefits to employees: eligibility and claims
Practical guide to ESIC benefits to employees for Indian HR: who is covered, what staff actually get, how to claim online, and how to sync leave and payroll.
Claims get stuck for avoidable reasons: wrong dispensary, missing Aadhaar or bank seeding, or a salary jump mid-period. Here is how Indian HR can prevent those failures.
ESIC coverage checklist: who is covered and when
Use this checklist to decide ESIC coverage and record your decision.
Establishment: confirm your unit is required to register under ESIC. If unsure, call your ESIC branch and note the guidance.
Headcount: keep a current list of employees by location. Capture employees state of posting.
Wage ceiling: apply ESIC only when monthly salary is at or below ₹21,000.
Mid-period revision: if salary goes above ₹21,000 after a revision, keep deducting till the end of that contribution period (April-September or October-March). If still above in the next period, exit then.
Special categories: flag apprentices, trainees, interns and probationers. Check appointment letters and confirm treatment with your ESIC branch.
Before advising staff, re-check current ceilings and rules on official sources. For context, read Statutory Benefits in India: EPF, ESI | Zeba. Use this section as your weekly check.
What employees actually get under ESIC
What employees can actually use under ESIC this week. Share the nearest dispensary list.
Medical care: Walk into an ESIC dispensary or hospital with e-Pehchan. If a service is not available, ask for a referral to an empanelled facility.
Portability: The insurance corporation issues the IP number and e-Pehchan. They work across cities and states; keep KYC and dependants updated.
Sickness cash: When ESIC doctors certify rest, employees can claim cash for those leave days, including higher support for certain procedures and long-term diseases. Submit certificates fast so payroll can tally.
Maternity: Cash benefit around childbirth, and in certain adoption or related cases. Keep medical or adoption papers ready.
Employment injury: For work injuries or occupational disease, benefits cover treatment, disablement, dependants’ pension, and rehabilitation. Report the accident and start care at the ESIC facility.
Most ESIC sickness claims fail on basics: missing Aadhaar/bank seeding or a wrong dispensary. Fix these before anyone falls ill.
Before illness
On the ESIC portal under ministry labour, india, seed each insured person’s Aadhaar and bank account. Keep a scanned passbook/cancelled cheque handy.
Generate the e-Pehchan card and share a copy with the employee and their manager.
Confirm the mapped dispensary fits the employee’s location and shift; raise a change if it is wrong.
Ensure contributions are filed on time so eligibility is not questioned later; keep proof accessible.
During illness and after
Employee visits the ESIC dispensary/hospital; the doctor issues an electronic medical certificate in the portal.
Employee informs HR; you log in and certify the sickness period against the certificate.
Submit the claim online, verify bank details, and upload any asked documents. Track status and respond to portal queries.
Close payroll: tag certified days as ESIC sickness, prevent double pay, and true-up if the claim is revised or rejected. For cleaner coordination with leave, see Benefits of automated leave management for SMEs | Zeba.
Contribution period vs benefit period: plan to avoid gaps
ESI uses fixed contribution windows that unlock a later benefit window. Cash benefits under the state insurance scheme look back at what you actually paid in the earlier window. Mid-cycle joinees can miss insurance cash benefits if their first deduction lands after your cutoff and minimum contributions are not met in that lookback.
Align date of joining with your payroll start; avoid post-cutoff joins so the first ESI line item lands inside the active window.
For transfers and contractor-to-FTE moves, collect the employee’s ESIC IP number, enroll on the start date, and run a pro-rated first payroll so some insurable wages post in the window.
These edge cases often derail ESIC benefits. Handle them fast and in writing.
Salary crosses the ceiling mid cycle: Do not stop deductions blindly. Verify current eligibility in the ESIC employer portal, document the decision, and align the change with a clear payroll cutover. Inform the employee about any impact and keep proof in the file.
Multiple employers or labour contractor setups: Collect the employee’s existing IP number at onboarding. Run a portal search to avoid duplicate IPs. If you find splits, raise a correction through employer login and keep payslips from all entities to support it. Coordinate with the contractor or principal employer so only one entity reports the wage month.
Relocations and family updates: Update dispensary and family details before the move. Reprint the e-Pehchan card. For any claim during transition, attach the change request and address proof.
Missed or late filings: File immediately, upload correct wage and attendance data, and save acknowledgments. If the portal blocks actions, email the local office and log the ticket number. Add a maker-checker and calendar reminder to prevent repeats.
Coordinating ESIC with company leave and payroll
Common miss: salary is paid while the ESI corporation also pays sickness or maternity cash. Avoid this by treating ESIC-certified time as its own workflow.
Create ESIC-Sickness and ESIC-Maternity leave. Capture certificate number, dates, proof. Mark days company-unpaid pending corporation payment.
In payroll, add an ESIC cash benefit - adjustment line so net pay avoids double payment. Release balance only after the ministry portal shows approval.
Support ESIC deduction by percentage or fixed amount. In Zeba, percentage uses ESI wage and you set the rate. Your payroll should mirror this.
Emergency care may start at a non-panel hospital or in another city. Stabilize first. Then regularise: as soon as possible, ask the ESI dispensary/ESIC hospital for a referral or endorsement, and get the treating doctor to record that it was an emergency.
Ensure documents show patient and IP details, dates, diagnosis, doctor signature and hospital stamp.
Scan, index by date, provide clean copies, and keep originals ready for checks.
File promptly through your usual ESIC channel; note the submission date and contact.
For outstation cases, add travel records and any police/accident memo if relevant.
Strong documentation discipline prevents queries later and keeps reimbursements moving.
Documentation and quick checklist
Set up a per-employee ESIC file and verify everything before the first payroll cut.
Employee side: Aadhaar, bank account details, family information, recent photo, current address, and e-Pehchan copy. Match spellings across documents to reduce claim friction.
HR side: ensure timely IP registration on the ESIC portal, contribution filing is configured and monitored, dispensary selection is confirmed with the employee, and claim certification rights are enabled for the approver on the portal. Record the IP number and chosen dispensary in your HRIS and payroll master.
Preserve emergency care paperwork: keep all admission notes, bills, prescriptions, discharge summaries, and referral slips; scan and store them with the employee’s ESIC file.
Employee benefits in payroll include statutory cover like ESI. For eligible staff, you deduct ESI when monthly salary is at or below ₹21,000. In Zeba, set ESI as a percentage of the ESI wage you define or as a fixed amount. If salary crosses ₹21,000 mid period, contributions continue till that period ends.
Is ESIC not applicable above 21000?
ESI deductions generally stop above ₹21,000, but there is a continuation rule. If an employee’s salary is revised above ₹21,000 during a contribution period, you must continue deductions till that period ends, which runs April to September or October to March. New joiners above ₹21,000 do not start ESI deductions.
Who is ESIC applicable to?
ESI is applicable to employees whose monthly salary is at or below ₹21,000. If someone already contributing crosses ₹21,000 due to a revision, they keep contributing till the end of that contribution period, either April to September or October to March. Above ₹21,000 at hire, you do not start ESI deductions.
What is ESI contribution?
An ESI contribution is the payroll deduction you compute for eligible employees. It is based on the ESI wage. In Zeba, you can calculate it as a percentage of that wage you define or as a fixed amount. Deductions apply only up to ₹21,000 monthly salary, with continuation till period end after a revision.
