Your offer says high CTC, but candidates fixate on take-home. Finance needs clean ledgers. Payroll must handle ESI changes mid-year without disputes. Here’s a practical way to define and calculate CTC.
CTC in one line, and the workable formula
CTC in one line: CTC full form is Cost to Company, sometimes written as cost company in offers. In practice, it is the total annual spend your company commits for an employee across all promised pay components and employer-paid costs, not the take-home.
Workable formula: CTC = Fixed salary components in the offer + Employer statutory or policy contributions + Employer-paid benefits and insurance + Contracted variable or guaranteed bonus.
Include in CTC:
Fixed pay listed in the letter.
Regular allowances you pay without bills.
Employer statutory contributions you fund.
Employer-paid insurance and wellness plans.
Contracted variable or guaranteed bonus.
Joining or retention bonus if written in the offer.
Exclude from CTC:
Employee-side deductions and taxes.
Reimbursements paid only against bills.
Discretionary bonus not promised in writing.
Equity or ESOP grants.
One-time equipment, tools, or training costs.
Gifts or celebrations not budgeted per head.
Write this rule in your offer template to avoid CTC disputes.
CTC vs gross vs in-hand: get your stack right
CTC sits above gross and in-hand. Treat them as three stacked views: company spend, payslip before deductions, and cash in bank. Get this wrong and offers look inflated, tax/PF settings drift, and employees compare apples to oranges.
Term
What it includes
What it excludes
CTC
Fixed + variable target + employer-paid benefits and costs such as health insurance premiums, gratuity accruals, and employer retirement contributions.
Out-of-pocket claim reimbursements or company credit card business expenses that are settled separately.
Gross salary
All components on the payslip before deductions - fixed, allowances, shift pay, monthly incentives, overtime, arrears.
Employer-side costs and benefits; off-payroll reimbursements.
In-hand (net)
Actual payout after taxes and employee deductions (PF, professional tax where applicable, loans, voluntary deductions).
Anything not earned this month; employer costs and benefits.
CTC in India usually means the employer's budgeted spend for an employee over a year. Build it from what hits monthly income, what you fund on the employee’s behalf, and policy-led variable or one-time items.
Fixed pay paid monthly: basic, HRA, DA where used, special allowance, fixed conveyance, LTA, shift allowance.
Employer statutory contributions: employer share of PF, ESI where applicable, gratuity provisioning per policy.
Insurance and perquisites you pay: group health premium (employee or dependents), group term life, accident cover, meal coupons or food card, phone or internet reimbursements.
Budgeted variable or one-time: performance bonus, sales incentives, annual bonus per policy, joining bonus with clawback, retention bonus, relocation assistance.
Include only what you will actually fund and can explain in the offer cost memo; padding ctc cost skews taxes and take-home expectations.
What stays outside CTC, plus tricky items
Candidates often ask exactly what the ctc ctc number covers. Keep the following outside CTC to avoid noisy offer disputes.
Employee TDS is a tax deduction from pay, not an employer cost.
Employee share of PF or ESI belongs in deductions, not in CTC.
Penalties, salary advances, or notice pay recovery reduce payout but do not change CTC.
Loss of pay for unpaid leave or attendance issues affects take-home only.
Unapproved or out-of-policy reimbursements are not payable and not CTC.
ESOPs or RSUs are equity benefits with separate terms, not CTC.
Joining bonus with clawback is conditional and one-time, so do not annualise into CTC.
Travel or WFH reimbursements on actuals can be budgeted but sit outside CTC.
Employee-paid insurance top-ups through payroll are voluntary deductions, not CTC.
Document each item in the offer and your policy.
Calculate CTC step by step, with proration
Use this operator checklist to calculate CTC with auditability. Start from the salary letter and your benefits schedules.
Sum the annual fixed pay from the salary letter.
Add employer statutory contributions per eligibility and policy: PF, ESI where applicable, gratuity accrual if included in ctc full.
Add company-paid benefits and premiums: group health, term life, accident, corporate mobile, meal benefits, transport.
Add budgeted variable at target: performance bonus, sales incentives, retention payouts planned for the year.
Prorate for joins or exits: apply active months to recurring items, use active days for daily-rated items, include only covered months for insurance, exclude inactive benefits, and add one-time payments only if written.
Sanity-check totals and take-home with a quick worksheet; the Salary Tax Calculator in Excel guide can help you model tax without changing CTC. Document each assumption in the sheet for audit and employee queries.
Decode offers: 18k salary, 30k salary, 75k CTC
“18k salary”, “30k salary”, or “75k CTC” can mean very different pay. Get a written breakup and definitions before you accept.
Ask whether the quoted “salary” is basic, gross, or in-hand. Request a monthly take-home estimate with tax and statutory deductions shown.
Get the component split: basic, allowance hra, special allowance, employer PF, ESI, gratuity, bonus, insurance, and variable pay.
Confirm PF/ESI eligibility and the wage base used.
Clarify gratuity accrual basis and funding in CTC.
Document bonus policy, eligibility, and payout timing.
Spell out insurance cover, dependents included, and who pays the premium.
State variable pay at target, metrics, payout dates, and clawbacks.
PF on higher wages and special allowance: Fix in writing whether you cap PF or compute on full basic. Do not move pay from basic to special allowance to cut PF; recurring allowances attract audit attention.
Voluntary higher PF: Let employees add VPF from basic salary. Employer match stays per policy unless changed in writing; reflect in the ctc salary sheet.
Gratuity: Accrue monthly in ctc salary. If someone exits before eligibility, reverse the provision in books, never from take-home.
Proration and revisions: For mid-month joiners, exits, or hikes, prorate fixed pay consistently and recompute PF only for that payroll month.
ESI: Apply only if monthly salary is less than or equal to ₹21,000. If a revision takes it above ₹21,000, continue ESI till the end of that contribution period (April-September or October-March), then stop.
HR playbook: offers, payslips, audits, and non-employee hires
Map every CTC line to a payslip component and an accounting ledger code; keep names and codes consistent.
Show variable pay as three numbers: target, maximum, and guaranteed. Accrue monthly and true-up on payout.
Update the CTC when benefit tiers change, with an effective date and reissued schedule to the employee.
Audit monthly: crosswalk offer CTC to payslip and ledger totals; reconcile accruals and what the company spends.
CTC framing is for employees. For contractors, share fee, taxes, and approved expenses, not CTC. For apprentices, state stipend and reimbursements. For fixed-term employees, use CTC like regular staff, pro-rated and limited to benefits actually provided.
Add inputs for joinee month and unpaid days; calculate monthly and annual take-home; show employee deductions separate from employer cost.
Auto-fill the offer letter and form ctc; lock formulas and share a view-only tab for managers.
Frequently asked questions
What is CTC for 18,000 salary?
CTC at a monthly salary of 18,000 is the employer’s total annual cost for that employee, not the in-hand. It includes fixed pay, employer-paid benefits, and statutory costs. Because 18,000 is within the ESI threshold, ESI deductions apply. If the employee crosses 21,000 mid-cycle, ESI continues till that contribution period ends.
What does "75,000 CTC" mean?
"75,000 CTC" means the employer’s total cost for the role over the stated period. Clarify if it is monthly or annual. It covers fixed pay plus employer-paid benefits and statutory costs. ESI would apply only if the monthly salary is within the ESI threshold; otherwise it would not. Always ask for a component-wise breakup.
What is CTC for 30,000 salary?
CTC at a monthly salary of 30,000 is the employer’s total annual cost for that employee, beyond take-home. It includes fixed pay, employer-paid benefits, and statutory costs. At 30,000, ESI generally will not be deducted. If the pay just crossed 21,000 this period, ESI continues till the period end.
How is CTC calculated in salary?
CTC is calculated by adding gross salary with employer-paid statutory contributions, benefits, and any company-included provisions or one-time costs. Include employer PF, ESI where monthly salary is within the threshold, group insurance premiums, gratuity provisioning if you use it, variable pay, and allowances. Exclude pass-through reimbursements unless your policy counts them. Share a clear breakup.
