Employees keep pinging HR for payslips. HR teams are buried in tickets near payday. Use this field-tested path to get the slip online, verify it, and prevent repeat requests.
Salary pay slip online - the short answer
For a salary pay slip online, go straight to the source that runs payroll.
- Private sector: log in to your employer’s HRMS or payroll app/portal and download the salary slip from the Salary/Pay Slips section.
- Government staff: use your state’s employee HRMS portal to fetch monthly salary slips.
- A bank statement is not a payslip. It shows credits, not earnings, deductions or PF/ESI breakups that lenders or auditors ask for.
- Can’t find it? Ask HR for: the correct portal link, your employee code or login ID, a password reset if needed, and to enable or republish older months.
If access still fails, raise a ticket with HR or payroll and note the month needed. Keep PDFs in a personal folder after download to avoid repeat chases.
Private sector: exact steps to download
Start with your onboarding emails. Search for “HRMS”, “payroll”, or “welcome” and click the official portal link; if missing, check the intranet or IT service desk.
- Sign in with your employee code or company SSO. If prompted, set up 2FA using OTP to phone or email.
- Open Payroll or Salary, then Payslips. Select the month-year or pay period.
- Preview key fields: basic, allowances, total earnings, deductions, and net pay.
- Download the PDF and save it in your own folder.
Need older records? Raise a ticket to HR or payroll for historical access or re-publication, quoting your employee code and months needed. For full-and-final, ask for the FnF payslip or statement; if your portal account is inactive, request delivery to your personal email.
Government employees: state HRMS routes
For state government staff, salary pay slip online access runs through the state HRMS. Examples include Sevarth Maharashtra, HRMS Karnataka, and SPARK Kerala. Use the official portal your department specifies.
- Sign in with your employee ID and password. If you do not have or remember them, stop here and contact your DDO or department HR.
- Open the Salary or Payslip section. Select the month and year you need.
- View, then download the PDF payslip. Check earnings, deductions, allowances, and any bonus entries so payroll issues surface before reimbursement cycles.
If the site is slow or times out, try off-peak hours or switch to mobile view in your browser. For failed sign-ins or locked accounts, your DDO or department HR can reset access.
Read and verify your payslip
Do a quick scan before raising payroll issues.
- Header: confirm your name, employee ID, PAN, pay period, and masked bank account digits.
- Earnings: match basic, HRA, allowances, and variable pay with your offer letter or latest revision.
- Deductions: verify statutory lines like PF, ESI, Professional Tax, and TDS. Flag loans or LOP recoveries.
- Totals: gross must equal all earnings; net must be gross minus deductions.
- YTD: confirm year-to-date pay and tax reflect increments, bonuses, and earlier months.
At year end, reconcile PAN, TDS, and totals across your payroll records. For a refresher, see Guide to payslips and India statutory breakdowns.
Common failures and quick fixes
Here are the issues you will actually hit when staff pull a salary pay slip online, and what fixes work this week.
- Portal login fails: Confirm the employee code format exactly as stored in HRIS. Clear browser cache, try a fresh tab, and use the correct unit/department URL.
- Name or PAN changed: Ask HR to update master data, then regenerate the slip. Also confirm department and bank mapping so basic salary and other components land on the right record.
- PDF looks altered: Open the PDF signature panel and review the digital signature. If it is missing or shows a problem, request a reissue from payroll.
- No corporate email: Request SMS OTP login, a kiosk print workflow, or masked-print access.
Low-bandwidth and hygiene: use light/HTML mode if available, download on office Wi-Fi, never save passwords on shared devices, always sign out, clear Downloads, and never share OTP or pay slips on open groups.
Edge cases to double-check
These are the spots where slips go wrong. Run these checks before publishing the document.
- Variable pay and arrears: Keep them on separate lines with the right month tag. Do not merge them into fixed components.
- Loss of pay (LOP): LOP should match attendance. Reconcile LOP with timesheets and overtime to avoid contradictions.
- Mid-month join or exit: Pro-rate by payable days. Verify joining or relieving dates against HRIS and manager mails.
- Full-and-final (F&F): Show notice pay, leave encashment, and recoveries as distinct lines. Recoveries may include asset shortfalls, advances, or company credit card dues.
- Contract staff: The payslip should come from the staffing vendor or employer of record. Confirm who issues it and where corrections are raised.
Cross-check overtime using Time Tracking & Overtime with Payslip OT | Zeba before closing payroll.
Reconcile with EPF and ESIC
At month-end, match each employee name across payslip, EPF passbook and ESIC records. Ensure deductions tie to the correct earnings heads.
- EPF: The PF deduction on the payslip should match the month-wise entry in the EPF passbook. Chase any missing months or values.
- ESIC: ESI applies only when monthly salary is less than or equal to ₹21,000. If salary crosses mid-period, continue ESI till that period ends (April-September or October-March).
- TDS: Check that YTD TDS on each payslip rolls up correctly across months. If numbers do not add up, ask payroll to review deposits and head mapping.
For mapping between payslip components and common tax documents, see payslip-to-tax document mapping.
If your employer delays or refuses payslips
Payslips missing or portal blocked? Act fast and keep a paper trail.
- Email HR and payroll. Subject: Payslip not received - period - your name/employee ID.
- Attach proof of employment (appointment letter or ID card) and bank credit evidence. Ask for portal access or a PDF reissue.
- Copy your manager and save every request and reply.
If wages or full-and-final are delayed, the Code on Wages, 2019 sets due dates: monthly by the 7th of the next month, weekly by the last working day of the week, fortnightly within two days of the fortnight's end, and daily at shift end. Full and final dues must be cleared within two working days; gratuity is typically due within 30 days. Non-compliance can draw fines from ₹20,000 to ₹50,000. Escalate to HR head or finance; if unresolved, approach the labour authority with your records. As an employee, keep it crisp, not a min read.
